The short version: I do not sell personal information. I do not send private tool entries, recordings, transcripts, or calendar details into GoHighLevel. The tools use only the access that is needed to provide the feature a person chooses.
1. Who this policy covers
This policy applies to ericfarewell.com, The Royals Time Audit, the private Tools Library, Guided Start, Royals Experience applications, and related emails operated by Farewell Holdings LLC, an Austin, Texas business. It does not replace a separate agreement for coaching, an event, a paid program, or another business relationship.
In this policy, “the Services” means those websites, tools, applications, and communications. “You” means the person using them.
2. Information the Services collect
Information you provide
- Your name, email address, and optional phone number, company, role, website, or referral source.
- Your answers to Guided Start, a private tool, or a Royals Experience application.
- Time-audit entries such as activity, category, project or role, date, duration, importance, happiness, notes, intended-week choices, experiments, and reflections.
- Initials and an optional choice to appear on the time-logged leaderboard.
- Messages, support requests, consent choices, and any information you choose to send directly.
Information created through use
- Account and authentication records, session information, access tags, consent records, tool progress, and saved coaching reports.
- Limited technical information such as request time, browser or device information, security events, referring page, and broad journey events needed to operate, protect, and improve the Services.
- Google information only if you choose to connect Google, as explained below.
Please do not place passwords, payment-card numbers, government identifiers, medical records, information about another person, or anything you do not have permission to share into a free tool or application.
3. How the information is used
Farewell Holdings uses information to provide and secure an account, open the private library, save progress, operate the Time Audit, prepare requested AI feedback, answer messages, review an Experience application, prevent misuse, improve the Services, comply with law, and keep an accurate record of consent.
If you agree to the short tool-orientation series, your first name, email, selected need, recommended tool, recommendation date, and access or orientation tags may be sent to GoHighLevel. That permission is separate from general marketing or text-message consent. You may unsubscribe from the orientation series without losing tool access. Transactional messages needed to sign in, secure an account, or answer a request may still be sent.
4. Google sign-in, Calendar, and Sheets
Google sign-in asks for basic identity information such as name, email address, and profile image so the Services can create or recognize your account. Connecting Google Calendar and Sheets is optional and separate from signing in.
If you connect the Time Audit to Google, the tool requests read-only access to your primary calendar and limited file access for spreadsheets created or opened through the tool. It reads event titles and start and end times for the period you request. It does not request attendee lists, email contents, or access to every file in Drive. Calendar blocks enter the audit as drafts. They do not count until you review and confirm them.
The tool may create a Google Sheet you own and update its confirmed time-entry rows. Google access and refresh tokens are encrypted before being stored in secure, HTTP-only browser cookies. The app may remember the connected email and the Sheet identifier or link on that device. These connection cookies may last up to 180 days unless you disconnect sooner.
Google user data is used only to provide or improve the visible sign-in, calendar-import, and Sheet-sync features you choose. It is not sold, used for advertising, used to determine creditworthiness, or transferred except to provide the requested feature, maintain security, comply with law, or complete a transaction you explicitly authorize. Human access is limited to a specific support or security need, your affirmative request, or a legal obligation. The use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
You can stop future Google access by disconnecting inside the Time Audit, by clearing the connection from your browser, or by removing access in your Google Account. Removing access does not delete a Sheet already created in your own Drive or an audit entry you already approved.
5. Voice recordings and AI-assisted feedback
Voice logging records only after you grant microphone permission and begin recording. The browser sends the recording to OpenAI for transcription. The returned transcript is then used to propose categorized time blocks. Farewell Holdings does not save the raw audio or the transcript in the product database. The transcript remains on the page while you review it, and only the entries you approve are saved.
The application asks OpenAI not to retain response state. OpenAI may still retain content in abuse-monitoring logs for up to 30 days under its standard API controls. OpenAI states that API inputs and outputs are not used to train its models unless the API customer has opted in.
Weekly and quarterly AI reviews may use approved time entries, categories, project names, importance and happiness scores, intended-week choices, reflections, and an optional hourly value. The resulting report can be saved in your private account. The feedback is a perspective generated from the information available. It is not a diagnosis, professional advice, or the final word about your work or life.
7. How long information is kept
Pending sign-in handoffs expire after one hour. A remembered first-tool choice may remain for 30 days. Google connection cookies may remain for up to 180 days. Raw voice recordings and transcripts are not intentionally stored in the product database, although OpenAI may retain abuse-monitoring logs for up to 30 days as described above.
Account records, approved audit entries, preferences, snapshots, and coaching reports remain available until they are deleted, the account is closed, or they are no longer reasonably needed to provide the Services. Experience applications and CRM records are kept only while reasonably needed to review the relationship, communicate about it, document consent, prevent misuse, or satisfy a legal obligation. Some security, consent, transaction, and legal records may be retained after deletion when reasonably necessary.
8. Your choices and requests
You may request a copy, correction, or deletion of personal information held by Farewell Holdings. You may also ask to close an account, remove a saved coaching report, withdraw orientation consent, correct an Experience application, or ask which service providers received your information. Email [email protected] from the address connected to your account. Identity may need to be verified before a request is completed.
You may export confirmed Time Audit entries to CSV and, when connected, keep a copy in a Google Sheet you control. You may leave the optional leaderboard at any time. Every commercial or orientation email will provide a way to unsubscribe. A privacy request will not be treated differently because of where you live, though specific rights and exceptions vary by law.
9. Security and responsibility
Farewell Holdings uses reasonable administrative, technical, and organizational safeguards designed for the information involved. These include encrypted connections, secure cookies, access controls, least-privilege permissions, token encryption, and private-by-default tool records. No website, email, database, or cloud service can promise absolute security.
You are responsible for access to your email account, Google Account, devices, downloaded CSV files, and Sheets you create. Please tell [email protected] promptly if you believe an account or sign-in link has been misused.
10. Age and location
The Services are designed for adults and are not directed to children under 18. Farewell Holdings does not knowingly collect personal information from a child through these Services. Information may be processed in the United States and other places where the service providers operate, subject to the protections described here and applicable law.
11. Changes to this policy
This policy may change as the Services change. The effective date will be updated, and material changes will be explained in a reasonable way before information is used for a new purpose. Where law or Google policy requires renewed consent, the new use will not begin until that consent is obtained.
